Job Title:ExecutiveAssistant to Executive Director
Location:London (commutable to Covent Garden)
About the role:
As an Executive Assistant, you'll play a crucial role in providing administrative and business support to the President/Executive Director of our Regulatory Services division within a highly regulated environment. You'll employ efficient time management skills to ensure smooth business operations while guaranteeing deadlines and proper procedures are met. Situated in the Executive Office, you'll collaborate with the broader Executive team as necessary, functioning as a key member of the Business Support Assistants' team. This position will be a hybrid position working out of our London based office and would require national travel.
Responsibilities
Be the first point of contact within the organisation for the Executive Director(s) supported Regular interaction with Board members, global BSI Executives and senior level external stakeholders while maintaining confidentiality Heavy calendar management to coordinating complex travel arrangements and providing thorough logistical support, all while ensuring efficiency and optimal utilization of the Executives' time. Cognizant of priorities and actions to meet deadlines and anticipate the needs of upcoming cyclical events while demonstrating initiative, proactiveness, and stay 'one step ahead'. Coordinate and prepare for meetings, which includes collecting necessary documents/presentations and managing logistical arrangements for the meetings Support specific project work as required to meet the changing needs of the business General administrative support and other duties as assigned i.e. submissions of expenses/invoices
To be successful in the role, you will have:
Must have experience working within a highly regulated industry A high attention to detail Proven experience as an Executive Assistant support senior level staff and on a global perspective Strong communications skills to be able to engage with internal and external personnel at all levels Strong ability to adapt and pivot to business and personal needs Ability to offer a high level of logistical support Enthusiastic, proactive team player with strong initiative, organizational, administrative and interpersonal skills while maintain confidentiality and discretion is required at all times
