Expleo is seeking a highly organised and proactive PMO Administrator (Project Assistant) to support our project management team within the Aerospace Business Unit. The ideal candidate will assist in the administration and coordination of various project activities, ensuring smooth operations and timely delivery of project milestones. This role involves handling a range of administrative tasks, supporting project managers, and contributing to the overall efficiency of project execution.

Responsibilities

Administrative Support:
Draft documents, prepare reports, and maintain project records.
Manage timesheet entries, ensuring booking codes are available and teams load timesheets for approval.
Perform project reporting and scheduling tasks utilising MS Office Suite.
Accurately maintain records and databases.
Project Coordination:
Support project managers in the preparation and updating of project tracking tools and resource trackers.
Set up new projects in the project management system, ensuring all relevant details are accurately recorded.
Collaborate with Engineering Teams and Project Managers to deliver multi-disciplinary projects.
Purchase Order Management:
Raise purchase orders for suppliers, ensuring compliance with company policies and procedures.
Onboard purchase orders, ensuring all necessary documentation is completed and approved.
Track the status of purchase orders and follow up with suppliers as needed.
Raising invoices and matching payments.
Support the management of intercompany invoicing processes, ensuring compliance with internal agreements and invoicing rules.
Communication and Documentation:
Maintain effective communication with project stakeholders, ensuring timely dissemination of information.
Exchange and coordination of information within the project and management teams.
KPI Tracking and Issue Escalation:
Track key performance indicators (KPIs) for projects, ensuring targets are met and reporting on progress.
Escalate issues to the project manager or relevant stakeholders when necessary, ensuring timely resolution.

Qualifications

Minimum of 2 GCSEs grade C or above, including Maths and English.

Essential skills

Organisational Skills: Efficiently manage multiple tasks and priorities.
Communication Skills: Excellent verbal and written skills to interact effectively with team members and stakeholders.
Attention to Detail: Ensure accuracy in documentation and reporting.
Time Management: Effectively manage time and meet deadlines.
Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with project management tools.
Problem-Solving Skills: Identify and proactively propose solutions to issues.
Team Collaboration: Work collaboratively within a team environment and support team members.
Adaptability: Flexibly adapt to changing project requirements and priorities.

Experience

Experience in a project support or administrative role is required.
