POSITION SUMMARY:

Provide administrative support for all freight planning and processing activities across air, sea, and road transport on a global scale. This includes accurate documentation, a solid understanding of international customs regulations, and management of online freight portals. Additional responsibilities include offering administrative assistance to other members of the supply chain team as needed.

KEY DUTIES & RESPONSIBILITIES:

Support the end-to-end shipment process, from receipt of collection/shipping instructions through to delivery at the internal or external customer's designated port or inland location.

Maintain accurate and up-to-date records of all freight documentation.

Coordinate air, sea, and road shipments, ensuring compliance with global customs regulations.

Collaborate closely with Procurement, Sales, and Freight Agents to understand and meet customer delivery expectations.

Manage post-order communication with suppliers and warehouses to coordinate shipments and address any additional customer requirements.

Maintain regular communication with internal stakeholders throughout the order lifecycle, proactively highlighting schedule changes and adapting to new requirements.

Liaise with shipping lines and freight forwarders to ensure compliance with shipping instructions and timely receipt of accurate transport documents.

Arrange third-party documentation via shipping line accounts, Chambers of Commerce, and trade banking portals.

Prepare and dispatch shipping documents to customers or their banks in accordance with agreed payment terms.

Create and manage purchase orders with freight partners.

Amend sales order shipment dates when estimated arrival times do not align with requested delivery dates.

Manage online freight portals to ensure full visibility of in-transit stock and update ERP systems with accurate delivery information.

Provide general administrative support to the global planning function as needed.

Assist the Purchasing team in expediting goods from suppliers.

Conduct monthly reviews of U.S. purchase orders to identify potential expedites or deferrals, coordinating required actions with the broader supply chain team.

PERSON SPECIFICATION:

Exceptional attention to detail and a commitment to accuracy.

Ability to think strategically and contribute to planning and prioritisation of tasks.

Capable of working effectively under pressure and responding calmly to unexpected issues.

Excellent communication skills — professional, articulate, and effective when engaging with non-native English speakers.

High standards of confidentiality and discretion.

Strong organisational skills; able to manage multiple tasks and meet tight deadlines.

Self-motivated and capable of working independently with minimal supervision.

Resilient and adaptable, particularly when managing long order cycles.

Proactive problem-solver with the ability to assess risk and feasibility of proposed solutions.

EXPERIENCE & QUALIFICATIONS

Knowledge of international shipping procedures, documentation, Incoterms, and HS codes (desirable).

Proficient in Microsoft Office and ERP systems; experience with Microsoft Dynamics 365 Business Central (highly desirable)
