Facilities Coordinator
Salary: £34,000 per annum, plus company benefits
Location: The role is based in our Manchester office. 2 days a week in the Manchester offer, 0.5 days in Leeds, 1 day a week in Cardiff which with then move to bi-weekly visits. The remaining time offered as a hybrid option.
Contract: 1 year fixed term contract, then moving to permanent
Shifts: 40 hours a week, Monday – Friday 9am – 6pm

TheFacilities Coordinatorwill provide a range of services which are central to the smooth operation of the business; these services include facilities and health & safety support. It is a broad role which involves maintaining processes, working to time schedules and providing excellent service delivery.
TheFacilities Coordinatorwill act as a ‘point of contact’ for the Manchester and Leeds office and will support the Cardiff office. This is a new role, therefore the individual will need to support the Head of Workspace Operations with developing the role. It will be a hands-on role, where nothing is too small; it will involve working at a number of levels.
The successful applicant will report into the Concierge Team Leader and Head of Workplace Operations.
Key responsibilities
- Supporting stock levels of office consumables
- Assisting with contractors on site
- Liaising with management to ensure relevant paperwork (work permits etc) are in place
- Supporting with security and access passes for building access
- Assisting with day-to-day H&S compliance
- Supporting management with H&S audits and assessments
- Receiving instruction from management regarding general maintenance which may include decorating, general upkeeping, defects reporting, repairing of fabric and furnishings, lighting maintenance, electrical and plumbing repairs, fire system checks, office moves
- Adhere to the high quality-of-service delivery across the offices
- Support the implementation of standardised processes for facilities
- Maintain continuous lines of communication with Head of Workplace Operations, keeping them informed of all critical issues and information
- Partner with the Head of Workplace Operations and adhere to appropriate corporate policies, internal controls, and reporting
- Escalate operational and compliance risk areas
Personal attributes
- Over 1 year experience and a proven track record in a facilities role
- Demonstrated record of implementing solutions that have permanently resolved difficult situations
- Excellent customer service skills with a service-minded approach towards the firm employees
- PC literate including the use of Microsoft Word, Excel, PowerPoint
- Legal, Professional Services or Corporate background
- Previous experience of working with senior professionals in a professional services environment
- Strong communication skills
