Job Title: Customer – Front of House Administrator

Role Overview

We are looking for a polished, professional, and highly organised Corporate Receptionist to serve as the first point of contact at our corporate office. This front-of-house role is essential in delivering a warm, efficient, and seamless experience for clients, visitors, and employees. The successful candidate will demonstrate exceptional communication skills, a strong customer service ethos, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities

Reception Services

Provide a consistent and professional front-of-house experience for all staff, clients, and visitors Warmly welcome guests, manage sign-in/sign-out procedures, and issue appropriate visitor and staff passes Handle service-related issues discreetly and efficiently to ensure a smooth and positive experience Maintain a clean, organised, and inviting reception area that reflects the company’s standards

Operational Coordination

Liaise with catering, cleaning, and maintenance teams to ensure readiness and smooth daily operations Monitor and maintain safe working practices across all front-of-house areas Regularly check ServiceNow, assigning and closing job tasks as appropriate Manage car park allocations, maintain spreadsheets, and respond to related

Administrative Support

Manage meeting room bookings via the internal booking system Maintain and regularly update key operational records, including contact directories, car park allocations, and access card registers Periodically review and update front-of-house policies to ensure they remain relevant, site-specific, and aligned with operational standards

Facilities & Safety

Collaborate with facilities and security teams to ensure smooth day-to-day Report and follow up on maintenance issues Support health and safety procedures, including emergency protocols and evacuation drills

Staff & Visitor Experience

Deliver outstanding customer service to both internal team members and external visitors, ensuring a professional and welcoming experience. Assist with hospitality arrangements for meetings and events Support the onboarding process for new employees by issuing access cards preparing welcome packs, and scheduling site inductions Assist with access authorisation by liaising with lead managers when staff members forget their ID passes

General Duties

Maintain confidentiality and discretion at all times Ensure compliance with company policies and procedures Provide ad hoc administrative support to the wider office management team

Skills and Experience

Previous experience in a receptionist or front-of-house role, ideally within a corporate or professional services environment Excellent verbal and written communication skills Strong organisational and multitasking abilities Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams) Familiarity with visitor management systems and room booking platforms Professional appearance and demeanour Ability to remain calm and composed under pressure A proactive, service-oriented attitude with strong attention to detail
